to Implementation!
The Project
Current Situation - 4 locations within Cardiff 9 departments. Moving to new Headquarters in Cardiff Bay
Objective - Firstly to recommend a method of filing and indexing to meet with the specification of the users needs and to be compatible with Kardex Datastacks. The implementation of a Fileline recommended filing solution. To move confidential files from various departments and locations within Cardiff in an efficient manner.
The Process - Consultation A Fileline Filing Consultant, Dawn Smith, spent a total of 2 days consulting nominated personnel from each department. The following information was ascertained, discussed and agreed: Current capacity, Indexing Method and File, Type.
Data Compilation - To facilitate the printing of index labels for new files Fileline created a database on an excel spreadsheet from handwritten file titles.
Pre-Labelling Service - Fileline printed and attached labels onto approximately 7,500 files.
Label Printing - To enable South Wales Police to print their labels in-house, Fileline supplied LabelsAnywhere Desktop Edition.
Bespoke Trays - Fileline supplied 732 bespoke fibreboard trays complete with index card holder to store Pocket Books and files.
Move Management - Fileline staff decanted 395 linear metres of files from 4 locations within South Wales Police, into fully labelled, lidded crates and transported to new Headquarters at Cardiff Bay approximately 5 miles away. Documents were placed inside 7,500 new pre-labelled files or files were placed into bespoke trays. Converted files and trays were reinstated into Datastacks. The move management took a total of 9 days to complete.
